Reserving Equipment 

Quotes and proposals do not guarantee the availability of rental equipment. Equipment and items will be reserved only upon receipt of a valid credit card, a signed rental contract, and a 50% NON-REFUNDABLE deposit by credit card. Any custom order requires a 25% deposit and is non-refundable

Our 25% deposit fee and 50% Custom order deposit are non-refundable.

If your order is over $2000 (50% deposit fee to book your items) half of the 50% deposit fee is refundable if you cancel due to covid government restrictions within 8 weeks prior to your event.

However, in any case, government restrictions due to covid require you to transfer your items to a new date. We will apply your full deposit towards future bookings with no penalty or expiry. Also in this case we allow you to apply your deposit amount elsewhere within our company to suit your event. Eg: Say that restrictions are loosened and you no longer need the same items to accommodate your event we can re-purpose the amount of deposit that you have paid to new items assuming availability.

Rental Terms & Conditions

Paying the payment request for the rental items associated with the attached pricing constitutes an agreement to these rental terms and conditions. You are responsible for reading the entire terms and conditions. The following conditions and terms will set forth a no-agreement between Twice As Nice: Party Favors and Rentals and the event host/client (client), for items displayed on the invoice and any other rentals stated in the notes area. These written terms and conditions set forth the full, written intention of the host/client. A signature on this form/terms and conditions constitutes agreement to this document. Secondly, this form grants Twice As Nice: Party Favors and Rentals to charge the client’s credit card for any damages that may occur during the rental period.

Failure to return goods by a specified date constitutes theft and will result in criminal charges. The renter will pay for any damages to the rented equipment incurred during the rental period, or while in the renters’ possession. Should any equipment associated with the contract go missing, or be stolen, the renter agrees to be charged with the value of the equipment as stated in this rental contract. The renter will advise Twice As Nice: Party Favors and Rentals of any change of address or telephone number that may occur while in possession of the above-listed goods.

All rental charges are to be paid 7 days in advance of your event date or delivery/pickup date to Twice As Nice: Party Favors and Rentals by credit card (we will charge this amount on the credit card that you keep on file with us).

Rental equipment is not covered by Twice As Nice: Party Favors and Rentals’ insurance. The Renter assumes all financial responsibilities for the equipment listed above.

The renter will pay all overdue charges for any and all equipment returned after the due date. The renter will pay any fees incurred by the owner in the event of repossessing the items or collecting the rentals due.

A 50% non-refundable deposit is required to confirm a rental reservation with the balance due on pickup. Picture ID and credit card with a matching name are required to be submitted and kept on file for all renters during the rental period.

Upon delivery or pickup, the renter agrees that all of the rentals are in satisfactory condition. If the client wants to notice some damage upon renting they must do so before the items have either left our facility or when our staff is present for delivery/setup.

A 50% non-refundable deposit is required to confirm a custom order. With the balance due at pickup or at the time of delivery. Work will not begin until a deposit is paid.

 

RENTAL PROTECTION PLAN (RPP)

A 10% damage protection charge will automatically be added to your contract (unless declined before pickup/delivery via email request or declined to contactus@TwiceAsNiceHTX.com). Damage protection will cover the first $150.00 of broken or damaged equipment and 50% of any additional damage or breakage. The remaining 50% will be the customer’s responsibility. If the damage protection is declined. The customer is responsible for the full cost of replacement, and/or fixing of the equipment. The Damage Protection option is not insurance and does not cover the following: Rental items not returned, theft, damage resulting from vandalism, damage resulting from failure to secure rental items during transport overloading or exceeding the rated capacity of the rental items, damage to motors or other electronic devices caused by artificial current, damages resulting from overturning, any damage due to weather, any damage to third party sub rental items or specialty linens. If the rental protection plan is declined the client will pay the full retail replacement cost of the damaged item(s).

Large Marquee Tent Delivery / Install Timeline:

The dates mentioned above are only for securing your requested tent in our system to ensure that we don’t overbook your requested event date with your tent rental to fit our delivery and setup schedule if unforeseen problems may arise that set back the timing and efficiency of the tent install. We will install the tents within our work schedule, taking into consideration your event start time. We understand that you may need to make adjustments to your event schedule and we will do our best to accommodate your needs. We will provide a tentative delivery time the week prior to and/or the week of your event. Schedule adjustments may be made at the discretion of Twice As Nice: Party Favors and Rentals management team. Our goal is to ensure that you have a successful event and we are committed to providing you with the best service possible. Please note that if you require additional time for tent setup, it should be noted as our team may require even more extra time to set up if adverse weather conditions or any other unforeseen variables get in the way of a successful tent install. For this reason, the tent setup date cannot be the same day and may be up to 3 or 4 days prior to the event date and 3-4 days after the event date has passed if necessary that the client will set up items under the tent to ensure that our team will have enough time. Our marquee tents can be staked on grass, weighted, or a mixture of both. Our tent stakes go into the ground 35-45 inches deep. Therefore, we require a line locate and for you to let us know if there are any underground sprinklers or anything at all underground where we will be installing the stakes. If you are on another type of surface (concrete, gravel, or anything other than grass), we will require the use of weights to weigh the tent down. To add weights will be an additional cost. Please let us know if you require the tent to be weighted vs stake.

Delivery/Pickup Service

Delivery service is available on all orders regardless of size. All fees are based on tailgate delivery and are charged by geographic location. Additional delivery charges will occur for the 2nd floor or higher delivery locations, excessive distance for loading and unloading trucks, specific delivery and pickup times, and after-hours delivery and pickup. Delivery fees quoted may change after site inspection. All items will be delivered and picked up at a designated location. The client should be available to count all items upon delivery and pickup, otherwise, the counts will be considered accurate. Orders are typically delivered 1-3 days in advance of your event while pickups occur 1-2 days following your event. Our standard delivery routes only take place in the afternoons between 12 pm-5 pm inside a schedule that is most efficient for our team to execute. You may request any custom delivery or pickup time at an additional cost of $175.00 per loaded trip on top of the standard delivery rate. Responsibility for equipment remains with the client from the time of delivery to the time of pickup. Please be sure all equipment is secured when not in use and protected from the weather.

Weather:

Client understands that tents are temporary structures designed to provide limited protection from weather conditions, primarily sun, and rain; however, there may be situations, particularly those involving strong winds and lightning, in which tents will not provide protection and may even be damaged or blown over. Evacuation of tents to avoid possible injury is recommended when severe weather threatens the area where the tent is erected. People must leave the tents and not seek shelter in tents during such conditions. Because it may be difficult to determine if the weather is severe enough to necessitate evacuation, it is best to follow the side of caution. In other words, if in doubt, evacuate.

Cleanup/Preparation For Pickup:

All floral arrangements, trash, and decorations of any kind should be removed from the tent before the scheduled pickup time. The client assumes responsibility for all damages caused by decorations. Please be aware that some decorations can cause a permanent station on the tent, linen, and other rental items. Please ask if you are unsure to avoid the cost of damages. Decorations must not affect the structural integrity of the tent. All chairs and tables should be stacked as delivered. All dishes, glassware, and cooking equipment should be returned to the proper rack or container and assembled at a single location for pickup. Dishes, glassware, and flatware must be well-rinsed and food and particle-free.

Covers:

Covers that are returned with burns, holes, and tears, or are permanently stained due to negligence will be billed at replacement cost.

Additional charges may apply if:

The site is not ready or accessible when the crew arrives. The tent and rented equipment are not ready for prearranged pickup. Delivery or pickups are from any location other than ground level (upstairs or downstairs). All chairs and tables are not stacked and bagged as delivered for pickup. Food service items are not rinsed food-free. All additional equipment (stoves, grills, ovens, etc.) is left dirty. Customer requires pickups before or after normal business hours.

Late fees:

The Renter agrees to return all rented equipment by the specified date and time on this contract. If the Renter fails to do so, they will be charged a late fee of 25% of the order total per day for the first 4 days and after 4 days will be considered lost or stolen. Additionally, if any late items are set to be rented to another customer inside the late period, the Renter will be charged extra fees for causing inconvenience and loss of revenue to Twice As Nice: Party Favors and Rentals.

Be sure all equipment is returned according to these TERMS AND CONDITIONS. The client is solely responsible for any additional charges incurred as a result of failure to meet these conditions. All collection fees, attorney fees, court costs, or any expense involved in the collection of rental charges will be the non-prevailing party’s responsibility.
